Somewhere in every office there’s a person who got “volunteered” to organise the Christmas party. If that’s you — this guide is for you. Here’s what Christmas party planners in London actually take off your plate, when you need to book, and how to end up with a party people talk about in January for the right reasons.

What a Christmas party planner actually does

A good planner covers four things you’d otherwise be doing between meetings:

  1. The venue. Shortlisting spaces that fit your headcount and budget, checking availability, negotiating minimum spends, and reading the fine print on corkage and curfews. London venues for December dates start booking out in September — by early November the good ones are gone.

  2. The suppliers. Catering, drinks, entertainment, photographer, DJ or band — booked, briefed and coordinated so they all turn up at the right time with the right expectations.

  3. The styling. This is what separates a party from a room with canapés. Coordinated palettes, candlelight, florals, table styling, balloon installations, a photo corner people actually use. It’s also the part guests remember.

  4. The night itself. Someone who isn’t on your team runs the schedule, handles the venue, cues the entertainment and deals with the surprises — so you get to be a guest at your own party.

You can hire all four as a package, or just the parts you need. Plenty of our clients have the venue sorted and want Christmas styling only; others hand over the whole brief through our full event planning service.

When to book

The honest answer: earlier than you think.

  • September — the sweet spot. Full choice of venues and dates, and time to plan properly.
  • October — still good, but popular Thursdays and Fridays in mid-December are going.
  • November — doable, with compromises. Early-December or midweek dates help.
  • December — styling and last-minute help, yes. Venue choice, realistically no.

If your company celebrates in January instead (increasingly common, and noticeably cheaper), you have more room — but suppliers still appreciate 6–8 weeks’ notice.

What it costs

Every party is different, but as a rough shape for London: venue hire or minimum spend is usually the biggest line, catering the second, then styling and entertainment. Styling budgets typically start around the cost of one or two guests’ catering per table — and it’s the line item with the highest “wow per pound”, because it’s the first thing guests see and the backdrop of every photo.

A planner doesn’t necessarily add cost, either. Part of the job is knowing which venues negotiate, which suppliers are worth the money, and where the budget shows on the night versus where it disappears.

Office party or private Christmas do?

Most of what’s above applies to both. Three mistakes we see every December

Booking the venue before counting the guests. Numbers move — a venue that’s perfect for 60 feels empty at 40 and illegal at 90. Confirm a realistic range first.

Spending everything on the venue. A beautiful empty room is still an empty room. Hold back budget for styling, lighting and one memorable moment — a balloon installation, a live singer, a proper photo corner.

Leaving the running of the night to whoever organised it. If that’s you, you’ll spend the party chasing the DJ and counting canapés. Hand the night to someone whose job it is.
